Position Summary:
The Payroll Deputy Director reports to the Director of Operations, supervises the Payroll Managers and Associates, and oversees day-to-day payroll operations. This role serves as a critical subject matter expert, taking the lead on solving complex payroll problems and ensuring compliance with all relevant laws and client agreements.
Key Responsibilities:
- Supervision and Team Management: Supervise the Payroll Manager and Associate roles, including:
- Overseeing day-to-day task execution and ensuring the team’s effective time management and task prioritization.
- Answering subordinates’ questions, teaching, and providing guidance and mentorship.
- Assist the Director of Operations in planning long-term departmental goals and improving existing processes as appropriate and where requested.
- Problem Solving and Escalation: Lead the resolution of complex payroll issues. This includes:
- Acting as the next escalation point for issues that cannot be resolved by the Payroll Manager or Associate.
- Exercising expertise, experience, and sound judgement to determine when to directly address an issue and when to flag an item to your Director.
- For emergent or especially complex problems, ensuring all relevant information is gathered, the nature of the problem is understood, and potential solutions are prepared or considered before escalation.
- Subject Matter Expertise: Serve as the primary internal subject matter expert on payroll procedures, payroll systems, and state tax account management.
- Answer advanced payroll questions from internal employees and clients.
- Lead state tax account setup and maintenance for payroll clients.
- Operational Oversight: Oversee the administration of client payroll, ensuring accuracy, compliance, and timeliness in all processes.
- Communication: Clearly and effectively communicate internally and externally, addressing sensitive or complex inquiries with professionalism and clarity.
Experience and Qualifications:
- 5+ years experience administering payroll for multiple clients.
- Proven experience in a supervisory or management role within a payroll department.
- Exceptional subject matter expertise in multi-state payroll, including state tax account setup and compliance.
- Demonstrated ability to lead problem-solving for complex or non-standard payroll issues.
- Excellent written and verbal communication skills.
- The CPP (Certified Payroll Professional) certification or an equivalent certification is strongly preferred.
- Strong organizational skills, including time management and task prioritization.
- A sincere desire to build new systems and improve existing processes as a small department expands.
Compensation Package:
- Starting Salary: $95,000-$110,000

Key Responsibilities:
- Manage incoming mail, packages and correspondence for MBA and its clients, including sorting, routing, and responding to routine inquiries.
- Support daily office operations to ensure an efficient, organized, and professional work environment.
- Perform data entry and assist with reporting and basic analysis to support operational needs.
- Process disbursements and manage contribution deposits with accuracy and timeliness.
- Maintain organized records and documentation, including filing, scanning, and digital record management.
- Serve as the first point of contact for visitors, providing a professional welcome and directing inquiries appropriately.

Position Summary:
An Associate at MBA will be assigned to one or more client teams depending on the size and complexities of the client(s) to which they are assigned. Associates are primarily responsible for entering the data and keeping client records up-to-date to allow the senior members of the team to more easily respond to the client and problem solve. Although the most junior position in the firm, it is also the most critical since many of the decisions we will make, either on behalf of the client, or with regard to internal structure, depend on the work the Associates do.
Key Responsibilities:
- Process campaign contributions into compliance and accounting databases.
- Screen for and address any compliance issues with campaign contributions.
- Assist senior members of the team with weekly client deliverables; such as the cash-on-hand report.
- Assist senior members of the team with monthly and quarterly reconciliations.
- Generate simplified income and expense reports as needed.
- Track and process expenses for the client.
- Correspond with vendors and donors on client’s behalf.
- Assists senior members of the team with disbursements for accounts payable. Produce consistent results.
- Performs other duties as assigned.
Experience and Qualifications:
